Follow the process
- 01
Start with a draft
Create a quote for the correct customer and keep it as a draft while the details are being prepared.
- 02
Add the work and prices
Use line items to describe the work, quantity and price. Check totals and any applicable VAT before continuing.
- 03
Review before issuing
Confirm the customer details, dates, wording and amounts. Drafts can be reviewed and edited without treating them as issued quotes.
- 04
Issue the quote
Issue the quote when it is ready. Issued quotes count towards any plan allowance that applies to the business.
- 05
Follow its state
Use the quote state to understand whether it is still awaiting a response, accepted or declined.
- 06
Convert when appropriate
Where the accepted-quote workflow is available, convert the accepted quote into an invoice rather than re-entering the same work.
USEFUL TIPS
A few things worth checking
- Keep descriptions specific enough for the customer to understand.
- Review customer and VAT details before issue.
- Duplicating or editing a draft does not itself issue a new quote.
COMMON QUESTIONS
Where people can get stuck
Why can I not issue another quote?
Your plan may have a monthly issued-quote allowance. Existing records remain available; a new issue may require the next period or a plan change.
Can every quote become an invoice?
Conversion is intended for the supported accepted-quote workflow. Confirm the quote state before converting.
